To ensure timely payment for work, you should ensure that your timesheets are submitted weekly via , for approval by your hiring manager.

Timesheets should be completed accurately, reflecting the days and hours when you undertook the work.

Your weekly timesheets will be available in your myJobshop account for each role/vacancy you have been assigned to and for each week that you have worked.

The timesheet week runs from Monday to Sunday, therefore, you can submit your timesheet once you have finished working for that week, ensuring the dates and hours are correct. 

You can access all your timesheet information via .  Log in to your account and then scroll down to the 鈥淭imesheets鈥 section, at the bottom left of your profile page.  Here you will have the following options:

  • Authorised: This will show timesheets which have been authorised for payment by your hiring manager.  You can check if your timesheet was authorised by the monthly timesheet deadline, by following the steps detailed here.
  • Submitted: This will show timesheets which you have submitted to your hiring manager and are awaiting authorisation.
  • Incomplete/Not Submitted: This will show timesheets which are awaiting your completion.

Completing your timesheet

To ensure you receive timely payments for the casual/GTA work you have undertaken, your timesheets should be submitted on a weekly basis. 

Timesheets need to be submitted and approved by your hiring manager by the 12th of each month, with the exception of December (5 December 2024) where this deadline will be earlier due to the Christmas vacation, for payment at the end of the same month.

If your timesheets are not submitted weekly, and with sufficient time for your hiring manager to authorise them before the monthly timesheet deadline, this may result in late payments and tax and National Insurance (NI) implications.

If you have not worked within the week of your timesheet

If you have not worked within the week of your timesheet, you can clear this timesheet from your account by taking the following steps:

  • Select the appropriate timesheet for the week where you have not worked.
  • Scroll to the title 鈥淭ick the relevant boxes below (as per the instructions) to submit your timesheet.鈥
  • Underneath this title, tick both boxes (鈥淐onfirm this timesheet is for the correct vacancy / week鈥 and 鈥淐onfirm I have not worked this week.鈥)
  • Select 鈥淪ubmit Timesheet鈥.
If you have made a mistake on a submitted timesheet

The myJobshop team will be able to help you if you have made a mistake on a submitted timesheet.  It is important that this is corrected and you do not claim the hours against another timesheet.

Please ensure you contact the appropriate myJobshop team (see below) as soon as possible, providing the vacancy ID number/title and the week commencing date(s) to enable the team to re-issue a blank timesheet for you.

If your timesheet has been rejected

If your timesheet has been rejected, you will receive an automated email from myJobshop to let you know.  This email will include comments from your hiring manager explaining why it was necessary to reject your timesheet. 

You will then be able to re-submit your timesheet for approval. 

If you have any queries regarding your rejected timesheet, before this is re-submitted (if necessary), please contact your hiring manager directly to discuss this further, rather than replying to the myJobshop email.

If your timesheet is not available

You will need to accept your offer of work before your timesheets are available.  After which, your timesheets should appear weekly on Monday for the duration of your assignment, from the date the work commences.

If your timesheet is not available when you have accepted your offer of work and the work has already commenced, please contact the appropriate myJobshop Team who will be able to help you.
